Normal turn around time for mail in, fax in, online and drop offs is 7-10 business days or less. More time may be necessary for more complicated filings including rental properties, businesses, extensive investment/retirement income and/or other non standard schedules and forms. Select your preferred method below:

Mail-in:

If you decide to submit your documents via mail we do recommend that you send us copies of your original documents, this is to prevent any inconvenience caused to you in the case that your package is lost/damaged in the mail.

Step 1 - Gather your tax documents (W2’s, 1099’s, 1098’s, etc.)

Step 2 - Print either the Tax Organizer long form or the General Information short form from the Faxing/Mailing Forms link of this website and complete.  DO NOT print both (see recommendations for which form to use below).  In most cases it will be the "Tax Organizer". The per-diem calculation worksheet can be substituted with documents in step 4. 

Step 3 - Copy or print your last pay stub of 2007.  Make sure it shows your Year To Date (YTD) totals for non-taxable per-diem and union dues, if applicable.

Step 4 - Print your final pay registers from CCS (CAL, XJT) or your company end of month report showing the cities or city codes of your layovers and the duration of rotations/pairings.  Make any notes of when and where any company/FAA training took place.  Try to keep this paperwork to minimum.  Use the per-diem calculation worksheet in lieu of these items.

Step 5 - Package these materials and mail to us at: Airline Crew Taxes, 5530 Greens Rd., Houston, TX 77032

Step 6 - You should receive a call/e-mail when your documents are received.  If you have not received confirmation that we received your documents after 7 business days of mailing, please contact us.  We will contact you if we require further information to complete your file.  Due to the high volume of business we are encountering, our file processing time is usually 7-10 days from the receipt of your documents.  When your file is completed we will contact you via telephone to request authorization to file your tax return and make payment arrangements for our services.

Fax-in Service:

*note: We utilize a digital fax that does not emit a "fax tone" when you call in. When sending your faxes, an automated voicemail system WILL answer your call - this is when you should press "start" or "send" on your fax machine.

Step 3 - If your W2 does not list your per-diem, usually listed in box 12 with a code (L), please look at your last pay stub of 2007 and find your Year to Date Total (YTD) of non-taxable per-diem and list it on the organizer.

Step 4 - Print your final pay registers from CCS (CAL, XJT) or your company end of month report showing the cities or city codes of your layovers and the duration of rotations/pairings.  Make any notes of when and where any company/FAA training took place.  Try to keep this paperwork to minimum.  No more than 2 pages per month (24 total) please or use the per-diem calculation worksheet in lieu of these items.

Step 5 – Fax documents and worksheets to 1-877-372-6888.  No cover page needed, just make sure your name is listed on every page.

Step 6 - You should receive a call/e-mail when your faxed documents are received.  If you have not received confirmation after 3 business days of faxing your forms, please contact us.  We will contact you if we require further information to complete your file.  Due to the high volume of business we are encountering, our file processing time is 7-10 days from the receipt of your documents.  When your file is completed we will contact you via telephone to request authorization to file your tax return and make payment arrangements for our services.

Online fill-in forms:

If you decide to submit your documents via the online fill-in forms make sure that you give yourself plenty of time to complete it.  Remember to round all numbers to the nearest dollar. We recommend "online" forms only if you do not have a significant number of tax forms, as it can be time consuming to enter these forms (ex. 1099's and 1098's).

Step 1 - Gather your tax documents (W2’s, 1099’s, 1098’s, etc.) and your last pay stub of 2007.  Make sure they show your Year To Date (YTD) totals for non-taxable per-diem, union dues, uniform deductions and long term disability insurance if applicable.

Step 2 - Go to the Online Forms link of this website and fill-in either the “Tax Organizer” long form (30-45 minutes to complete) or the “General Information” short form (10-15 minutes to complete).  Do NOT fill out both (see recommendations for which form to use below).

Step 3 - Proceed to transfer the data of any applicable forms that were received from your employer, lender, or brokerage firm to the fill-in form online.  (If your W2 does not list your per-diem, usually listed in box 12 with a code (L), please look at your last pay stub of 2007 and find your Year to Date Total (YTD) of non-taxable per-diem and enter it the total into box 14 with the title of “Non-taxable per-diem”).  Please submit each form once completed.

Step 4 - Print your final pay registers from CCS (CAL, XJT) or your company end of month report showing the cities or city codes of your layovers and the duration of rotations/pairings.  Make any notes of when and where any company/FAA training took place. 

Step 5 - Complete the Per-diem calculator fill-in form by referencing the forms in Step 4.  Make sure to follow instructions and in the notes section list when and where any company/FAA training took place.  Submit when complete. you can also fax in your final pay registers or end of month reports to us in lieu of completing our per-diem calculator, just note on your fax that you have started your filing online.

Step 6 - You should receive a call/e-mail once your online forms have been received.  If you have not received confirmation that we received your online forms after 3 business days of submitting your final form, please contact us.  We will contact you if we require further information to complete your file.  Due to the high volume of business we are encountering, our file processing time is 7-10 day days from the receipt of your documents. If you fax, email or mail any additional information please state that the information provided is in addition to a tax return already started. When your file is completed we will contact you via telephone to request authorization to file your tax return and make payment arrangements for our services.

Drop off/Walk-in:

NOTE: Arrangements can be made in advance for you to drop off your taxes at the beginning of a pairing and have your taxes prepared by the end of your pairing. More time may be necessary for more complicated tax filings. 

For clients who live in the Houston area. Office visits for consultation and drop off are available. Please refer to mail in instructions for documentation requirements.

Which form is right for me?

The “Tax Organizer” long form is recommended for NEW and EXISTING tax clients who wish to maximize their return by itemizing their expenses.  It includes areas to write your employee expenses, tuition costs, real estate taxes, per-diem calculator, etc. You will need to fill out as much of the organizer as possible and if there are any expenses you think may apply to your return, please write them down somewhere on the form, we will determine whether or not your expense is tax deductible.

The “General Information” short form is recommended for EXISTING tax clients whose tax situation has not changed since the previous tax year and who have not experienced any life events (moving, marriage, purchased home, etc.).  A per-diem calculation worksheet is included as part of this form, please use it if applicable.  Make sure to note any major changes in your employee expense habits, otherwise we will assume they are comparable to the previous year.  If there are any expenses you think may apply to your return, please write them down somewhere on the form, we will determine whether or not your expense is tax deductible.  Tax clients who do not expect to itemize their expenses (standard deduction) need to fill out only the "General Information (short form)". In addition, a per-diem calculator form is not required if you are not itemizing.
