Working With Crew Taxes
How do I get started?
Gather your tax forms/documents, complete the Tax Organizer. Then upload your tax forms/documents to Client Xchange, our secure portal. If you want an in-office appointment, use our convenient appointment scheduler.
Do I need to visit your office in person?
No. Most clients work entirely online with us using our secure portal for submitting their tax forms/documents. You can work with us from anywhere - during a layover, at home, on vacation, or while traveling internationally. Clients who prefer an in-person appointment may request one if they reside in the Houston area or are here on a visit or layover.
How long does tax preparation take?
Once all documents are received, returns are typically completed within 5–12 business days. Complex, multiple tax years or multi-state situations may require additional time, but we’ll keep you updated throughout the process.
In-person appointments are scheduled for an hour. Multiple years require additional time. Submit your tax forms/documents and Organizers at least 2 days prior to your appointment to allow more time during your appointment for questions/answers and planning with your Tax Specialist.
What if I’m unavailable due to flying?
Not a problem — most communication occurs via email and the portal so you can respond when you’re free. If something is time-sensitive, we’ll reach out promptly and work around your schedule.
IRS Forms & Common Documents
Do I have to file taxes in multiple states?
In most cases, airline crew pay income tax only to their state of residence due to federal law. However, if you moved during the year, had side-business income, or earned income outside your W-2, additional state filings may apply. We handle these scenarios regularly and can determine what you need.
I’m based in one state but live in another — does that matter?
It can. Commuters (for example, living in Houston but flying out of Chicago) often have unique tax considerations. We clarify which state return applies and ensure any credits or residency rules are handled correctly.
What if I fly international routes?
U.S. citizens are taxed on worldwide income. Certain special rules may apply if you qualify for exclusions or have overseas assignments. We review every international schedule to ensure accurate reporting.
Process, Documents & Deadlines
How do I send my documents securely?
Use Client Xchange, our secure portal, to upload tax forms, W-2s, 1099s, and pdf versions of your Tax Organizer. Instructions are available on the Forms page. If you use our online Organizers, they are encrypted end to end to protect your privacy.
We are committed to protecting your Personally Identifiable Information (PII). We offer Client Xchange as our only secure method of submitting your tax forms/documents with PII. We are unable to ensure the security of PII sent via alternative methods and therefore cannot be held responsible for such transmissions.
Can you file an extension for me?
Yes. Submit an Extension Request Form and your W-2 form(s); we will file your federal and applicable state extensions. A fee may apply. It's important to note that an extension will allow more time for you to file your taxes (October 15) but it does not extend the time to pay taxes. If you owe taxes, you will incur a late payment penalty and interest on the amount you owe.
What if I get an IRS letter or notice?
Upload a copy of your IRS letter to Client Xchange and Send Us a Message. We offer IRS representation and can explain, respond to, and resolve notices on your behalf — even if we didn’t prepare the original return.
Do you offer help outside tax season?
Absolutely. We’re available year-round for planning, retirement guidance, LLC support, bookkeeping, and tax consultations.
